Camping terms and conditions

1. What the words mean

In these terms, “booking” means the reservation you make with the park. “Arrival date” is the first day of your stay and “departure date” the last. “Party” means everyone included in the booking. “Pitch” means the camping or touring pitch allocated to you.

“The park”, “we” and “us” mean Broadfield Farm Holiday Park, run by Broadfield Farm Limited, registered in England and Wales, company number 14822202, registered office Broadfield Farm Holiday Park, Saundersfoot, Pembrokeshire, SA69 9DG. “You” means the lead guest who makes the booking.

2. Your contract with us

A legally binding contract is formed when we accept your booking and have received payment in full. The lead guest must be at least 18 and accepts responsibility for the conduct of everyone in their party and for their compliance with these terms and the park rules.

By booking, you confirm that you have read and agree to these terms on behalf of your whole party.

3. Paying for your stay

All bookings are paid in full at the time of booking. We do not hold provisional or unpaid bookings. Prices include VAT where applicable and are the prices shown when you book.

Payment is taken securely by Stripe. We never see or store your card number.

4. If you save your card

When you book you can choose to save your card for your stay. Stripe keeps it securely. We never see or store the full card number.

We will only use a saved card for a security deposit hold you have agreed to, or for an amount you have agreed to pay us, such as extras you asked for or damage caused by your party. We will tell you the amount and the reason before we take any payment.

5. Extras and additional vehicles

One vehicle is included with every booking. Additional vehicles, including tow cars used with motorhomes and trailers of any kind, are charged at £5.00 per vehicle per night. Awnings and gazebos are charged at the rate shown when you book.

Your included vehicle parks on your pitch. Additional vehicles, tow cars and trailers are never parked on the pitch: please park them at the back of the gravel parking area by the toilet block.

6. Changing your booking

You can change your dates, length of stay, extras and party details yourself in the Broadfield Farm app or on our website, subject to availability. If the change costs more, you pay the difference when you make it.

If the change costs less, we refund the difference on the same days as a cancellation, counted from the day you make the change to the arrival date you had booked:

More than 14 days before your arrival date: the whole difference.

8 to 14 days before your arrival date: half of the difference.

7 days or fewer before your arrival date, or once your stay has started: no refund of the difference.

You can still make the change. Any part of the difference we do not refund is kept, as it would be if you cancelled. Refunds go back to the card you paid with.

7. Cancelling your booking

You can cancel in the app, on our website, or by writing to us. The cancellation takes effect on the day we receive it, and any refund is worked out from the number of days between that day and your arrival date.

8. Refunds

More than 14 days before your arrival date: a full refund of what you have paid.

8 to 14 days before your arrival date: half of what you have paid. The other half covers the pitch we are unlikely to re-let.

7 days or fewer before your arrival date: no refund.

Refunds go back to the card you paid with.

9. When no refund is due

We cannot refund early departures, non-arrivals, or a stay we end because these terms or the park rules have been broken.

10. If we cancel or cannot give you a pitch

If we cancel your booking, or cannot give you a pitch for the dates you booked, we will refund everything you have paid, back to the card you paid with. If you would rather, we can move your booking to other dates instead. The choice is yours. We will tell you as soon as we can.

This does not apply when we end a stay because these terms or the park rules have been broken.

11. Cooling-off period

Because this is holiday accommodation booked for specific dates, the 14-day cooling-off period in the Consumer Contracts Regulations 2013 does not apply. Our cancellation terms above apply instead.

12. Arrival and departure

You are welcome from 1pm on your arrival date. Please do not go onto your pitch before then unless we have agreed it.

Please leave your pitch by 11am on your departure date. If you stay beyond 11am without our agreement, we may charge an extra night or ask you to leave straight away.

13. Your pitch

We allocate pitches and may change or re-allocate a pitch for operational, safety, ground condition or maintenance reasons. A change of pitch is not grounds for a refund or compensation.

14. Who can stay on your pitch

Each pitch has a maximum occupancy based on the size and type of unit booked. Your party must not exceed the number of people declared when booking. Extra people may be refused entry or asked to leave without a refund.

15. Your caravan, motorhome, tent or campervan

You are responsible for making sure your unit suits the pitch type you book: grass for touring caravans, tents and campervans, hardstanding for motorhomes. We may refuse entry to, or require the removal of, any unit we consider oversized, unsuitable or unsafe, without a refund.

16. Accurate booking details

If a booking is found to have been made on false, incomplete or misleading information, including party size, unit type or size, vehicles or intended use, we may refuse entry or end the stay without a refund.

17. Driving on the park

Please keep to the park’s 5mph speed limit at all times and park only where we show you.

18. Commercial and sign-written vehicles

Sign-written or commercially branded vehicles are welcome provided they are used only for private transport during your stay. Vehicles must not be used for commercial activity, deliveries, storage of trade materials or business operations while on the park.

19. Heavy commercial vehicles

We do not allow heavy goods or trade vehicles, including tipper vehicles, flatbed or dropside trucks, recovery vehicles, or vehicles designed mainly for construction, groundworks or haulage. We may refuse entry to, or require the removal of, any such vehicle without a refund.

20. Access to your pitch

We may access any pitch where reasonably necessary for safety, maintenance, inspection or emergency purposes.

21. Moving vehicles and units

We may ask you to move or remove any vehicle, trailer, tow car or unit where necessary for safety, access, operational or environmental reasons. If you do not, we may end your stay without a refund.

22. Groups and the good-conduct bond

Broadfield is a family-friendly, peaceful park. We do not accept bookings from organised parties, group tours, hen or stag parties, or drinking groups. Bookings we identify as group or party bookings may be refused entry or ended without a refund.

Bookings of two or three pitches made together, or made separately but intended to form a group, are accepted only where every pitch has its own responsible adult guest and the group keeps to these terms.

We may ask a group for a good-conduct bond of £100 per pitch before arrival, and we will tell you before you pay if it applies. The bond is refunded in full after departure where the group has kept to these terms and the park rules. If anyone in the group causes noise, nuisance or damage, or breaks these terms, the whole bond is forfeited and the stay may be ended without a refund.

23. Alcohol and behaviour

Excessive drinking, drunken behaviour or public intoxication that causes disturbance, nuisance or safety concerns will not be tolerated and may lead to your stay being ended immediately without a refund.

24. Children

Children under 12 must be supervised by a responsible adult at all times, and must have an adult with them in Jan’z and in the toilet and shower block.

25. Dogs

Dogs are welcome but must be kept under control and on a lead at all times on the park, and cleaned up after. Dogs are not allowed in the toilet and shower block, including the entrances and covered areas. If this is not respected, we may end your stay without a refund.

26. Visitors

Visitors are not permitted on the park without our prior approval. Unauthorised visitors or overnight guests may lead to your booking being ended without a refund.

27. Facilities and electric hook-ups

Our facilities are for guests and must be left clean and tidy. Charging electric vehicles from camping field hook-ups or any non-designated supply is strictly prohibited. Unauthorised EV charging may lead to the electric supply being disconnected and your stay being ended.

28. Weather and ground conditions

In bad weather or poor ground conditions we may restrict access, vehicle movement or pitch use to keep people safe and protect the park.

If this means we cannot give you your stay, or some nights of it, you can choose a full refund for the nights you cannot stay, or move those nights to other dates.

29. Barbecues and fires

Barbecues and fire pits must be raised off the ground at all times, so the grass is not damaged. Fires must never be placed directly on grassed areas.

In very dry weather, such as a drought, no fires are allowed at all.

30. Rubbish and recycling

Please use the bins and recycling points provided. Do not leave waste on pitches or in communal areas.

31. Lost property

We accept no responsibility for loss, damage or theft of personal property, except where it is caused by our negligence or our breach of these terms. Items found may be kept for a reasonable period and returned at our discretion.

32. Damage, loss and liability

The lead guest is responsible for all loss or damage caused by their party. We accept no liability for loss, damage or injury unless caused by our negligence or our breach of these terms. Nothing in these terms limits any liability that cannot be limited by law.

33. Refusal of entry and ending a stay

We may refuse entry or end a stay without a refund where these terms or the park rules are broken.

34. Events beyond our control

We are not liable for failing to meet our obligations because of events beyond our reasonable control, including extreme weather, government restrictions or utility failures.

If such an event means we cannot give you your stay, or some nights of it, you will not lose your money: you can choose a full refund for the nights you cannot stay, or move those nights to other dates.

35. Changes to these terms

We may update these terms at any time. The version in force when you book is the one that applies to your booking.

36. If part of these terms cannot be enforced

If any part of these terms is found to be invalid, unlawful or unenforceable, the rest still applies.

37. The whole agreement

These terms and the park rules are the whole agreement between you and Broadfield Farm Holiday Park and replace any earlier statements, communications or agreements.

38. Governing law

These terms are governed by the laws of England and Wales, and you can bring a claim in the courts of England and Wales.

If you live in Scotland, you can also bring a claim in the Scottish courts. If you live in Northern Ireland, you can also bring a claim in the courts of Northern Ireland.
